Refund Policy

At Canada Tech Training, we are committed to delivering exceptional software development and consulting services. We understand that circumstances may change, and we have established this Refund Policy to address cancellations, refunds, and related matters in a fair and transparent manner.

This policy applies to all professional services provided by Canada Tech Training Inc. Please read it carefully before engaging our services.

1. Scope of This Policy

This Refund Policy covers:

  • Custom software development projects
  • DevOps and automation consulting engagements
  • Cloud architecture and migration services
  • Hourly consulting and advisory services
  • Training and workshop programs
  • Retainer-based support arrangements

Specific terms in individual Statements of Work (SOW) or service agreements may supplement or modify this policy. In case of conflict, the SOW terms prevail.

2. Project-Based Services

2.1 Pre-Commencement Cancellation

If you cancel a project before work has commenced:

  • Within 7 days of signing: Full refund of any deposits paid, minus a 5% administrative fee
  • After 7 days but before work begins: 75% refund of deposits paid

2.2 Cancellation After Work Has Begun

Once project work has commenced:

  • You are responsible for payment of all work completed through the cancellation date
  • Work completed is calculated based on time tracking records and milestone achievement
  • Unused portions of deposits may be refunded after deducting completed work and any termination costs
  • All completed deliverables and work-in-progress will be transferred to you upon settlement

2.3 Milestone-Based Projects

For projects structured with milestone payments:

  • Milestone payments are due upon completion and acceptance of each milestone
  • Once a milestone is accepted, the corresponding payment is non-refundable
  • Disputes regarding milestone completion must be raised within 10 business days of delivery

3. Hourly Consulting Services

For time-and-materials engagements:

  • All hours worked are billable and non-refundable
  • Unused prepaid hours may be refunded at 90% of their value if requested within 90 days of purchase
  • Prepaid hour packages expire 12 months from purchase unless otherwise specified
  • Expired prepaid hours are not eligible for refund

4. Retainer Services

Monthly retainer arrangements:

  • Retainers are billed in advance and are non-refundable for the current billing period
  • Cancellation requires 30 days' written notice
  • Unused hours within a retainer period do not carry over unless specified in your agreement
  • Upon cancellation, any prepaid future months are refunded in full

5. Training and Workshop Programs

5.1 Public Training Sessions

  • More than 14 days before: Full refund or transfer to another session
  • 7-14 days before: 50% refund or full transfer credit
  • Less than 7 days before: No refund; transfer credit valid for 6 months

5.2 Private/Corporate Training

  • More than 30 days before: Full refund minus 10% administrative fee
  • 15-30 days before: 50% refund
  • Less than 15 days before: No refund; rescheduling may be available

6. Satisfaction Guarantee

We stand behind the quality of our work. If deliverables fail to meet the specifications agreed upon in the Statement of Work:

6.1 Defect Correction Period

We will correct any defects or deviations from specifications at no additional charge for 30 days following delivery. To qualify:

  • Issues must be reported in writing within the 30-day period
  • Issues must relate to agreed specifications, not new requirements
  • You must provide reasonable access and cooperation for diagnosis and correction

6.2 Refund for Non-Conforming Work

If we are unable to correct deliverables to meet specifications within a reasonable timeframe (typically 30 additional days), you may be eligible for:

  • Partial refund proportionate to the non-conforming portion of work
  • Credit toward future services
  • In exceptional cases, full refund of the affected project phase

7. Non-Refundable Items

The following are generally not eligible for refund:

  • Third-party software licenses, hosting fees, or cloud resources purchased on your behalf
  • Completed and accepted deliverables
  • Research, discovery, and planning phases once completed
  • Expenses incurred with your prior approval
  • Services rendered for urgent or expedited timelines

8. Requesting a Refund

To request a refund or discuss cancellation:

  2. Provide Details: Include your project name, invoice numbers, reason for request, and desired resolution
  3. Review Period: We will review your request within 5 business days and respond with our determination
  4. Processing: Approved refunds are processed within 10 business days to the original payment method

9. Dispute Resolution

If you disagree with a refund decision:

  1. Internal Review: Request escalation to a senior manager for secondary review
  2. Documentation: Provide any supporting documentation for your position
  3. Mediation: If unresolved, disputes may be submitted to mediation as outlined in our Terms and Conditions

We are committed to finding fair resolutions and will work with you in good faith to address legitimate concerns.

10. Our Cancellation Rights

Canada Tech Training reserves the right to cancel or terminate services under the following circumstances:

  • Non-payment of invoices after 45 days past due
  • Breach of our Terms and Conditions
  • Failure to provide necessary access, information, or cooperation
  • Requests to perform work that violates laws or professional ethics

In such cases, you remain responsible for payment of all work completed through the termination date.

11. Force Majeure

Neither party is liable for delays or cancellations caused by circumstances beyond reasonable control, including natural disasters, government actions, pandemics, or infrastructure failures. In such cases:

  • Project timelines may be extended by mutual agreement
  • Alternative delivery methods may be arranged
  • Partial refunds may be negotiated for undeliverable portions

12. Changes to This Policy

We may update this Refund Policy periodically. Changes apply to services engaged after the effective date of the revision. The current policy applies to existing agreements unless otherwise specified.
